
Role Summary:
The Executive and Front Office Associate (Intern) is an entry-level, hybrid support role within AHFID’s Executive Office. This role is designed to provide strategic virtual assistance to the Managing Partner and senior leadership, while maintaining smooth virtual front office operations. The Associate will contribute to daily logistics, digital interface management, executive scheduling, and confidential support, while also assisting with basic social media coordination and internal liaison across multiple ongoing projects.
Key Responsibilities:
1. Executive Support & Confidential Assistance
- Manage executive calendars, schedule internal and external meetings, and track follow-up tasks.
- Coordinate travel, accommodation, and meeting logistics for the Managing Partner and other senior executives.
- Handle confidential documents and correspondence with absolute discretion.
- Support preparation of briefing notes, minutes, and high-level presentations for internal and partner-facing engagements.
2. Virtual Front Office Coordination
- Serve as the first virtual point of contact for the Executive Office—managing official email, virtual reception protocols, and internal routing of inquiries.
- Support the digital filing and document management systems of the executive office.
- Interface between executive leadership and internal teams, ensuring timely flow of information.
3. Social Media & Digital Communication
- Assist in managing AHFID’s executive-facing digital presence (e.g., LinkedIn, brief posts on Twitter/X).
- Draft and schedule executive messaging, updates, and external-facing communication under guidance.
4. Operational & Logistical Coordination
- Track and support minor operations of executive-led projects and initiatives.
- Assist with project coordination logistics (venue booking, note collation, coordination of virtual calls, follow-up with stakeholders).
- Contribute to internal knowledge management tools and processes for the Executive Office.
Required Qualifications & Skills:
- A Master’s degree (or currently enrolled) in Public Administration, International Development, Public Health, Communications, or a related discipline.
- Excellent written and verbal communication skills.
- High emotional intelligence and the ability to handle sensitive information discreetly.
- Strong organizational, planning, and time management capabilities.
- Proficiency in Microsoft Office Suite, Google Workspace, Zoom/Teams, and basic social media tools.
