Role Summary
The Executive Associate (Strategy & Engagement) will provide high-level administrative, strategic, and operational support to the Managing Director. This role goes beyond traditional executive support by assisting with strategic planning, stakeholder engagement, project coordination, communications, and organizational initiatives.
The successful candidate will be highly organized, proactive, detail-oriented, and capable of managing multiple priorities while maintaining confidentiality and professionalism. This internship offers an excellent opportunity to gain hands-on experience in executive leadership, organizational strategy, and development sector operations.
Key Responsibilities
1. Executive Support
- Manage the Managing Director’s calendar, appointments, meetings, and travel arrangements.
- Coordinate meeting logistics, prepare agendas, take minutes, and track action points.
- Draft correspondence, reports, presentations, briefing notes, and other executive documents.
- Manage incoming communications and prioritize matters requiring executive attention.
- Maintain confidential records and sensitive organizational information.
- Coordinate logistics for meetings, travel, workshops, and official events.
2. Strategy & Coordination
- Support the implementation and monitoring of organizational strategic initiatives.
- Conduct background research and prepare briefing materials for meetings, conferences, and engagements.
- Assist in tracking strategic priorities and ensuring timely follow-up on key deliverables.
- Coordinate cross-functional activities involving different teams and external stakeholders.
- Support project planning, documentation, and reporting.
3. Operational & Logistical Coordination
- Track and support minor operations of executive-led projects and initiatives.
- Assist with project coordination logistics (venue booking, note collation, coordination of virtual calls, follow-up with stakeholders).
- Contribute to internal knowledge management tools and processes for the Executive Office
4. Communications and Knowledge Management
- Draft internal and external communications on behalf of the Managing Director.
- Develop presentations and briefing materials for executive meetings.
- Maintain organized digital filing systems and executive records.
- Support documentation of organizational knowledge, lessons learned, and strategic decisions.
Required Qualifications & Experience
- A master’s degree in business administration, Public Administration, International Relations, Communications, Economics, Social Sciences, Law, or other relevant disciplines. Medical Doctors are also encouraged to apply
- Prior internship, volunteer, or professional experience in executive support, administration, project coordination, communications, or a related function is an added advantage.
- Demonstrated interest in leadership, organizational strategy, public policy, international development, governance, or nonprofit management.
- Excellent written and verbal communication skills, with strong analytical and organizational abilities.
- Proficiency in Microsoft Office Suite and Google Workspace. Experience with project management and collaboration tools is an added advantage.
